1 - Workflow Setup

Administration-> Self Service-> Workflow Setup screen:

a.      Is used for the definition of workflows for employee self-service requests (mobile App).

b.      Select Transaction Type.

c.       For some transactions, Transaction Sub Type drop-down will be displayed like: Other Leave.

d.      Select Company if the workflow is specifically for a certain company.

e.      Select Organization Structure if the workflow is specifically for a certain organization structure.

f.       For Specific User: if selected, Specific Users page will be activated. This workflow is specific for certain users that are selected in the Specific Users page.

g.      Active: if not selected, the workflow will be disabled.

h.      Click Save and Continue Edit.

i.        Specific Users page:

                                                     i.     Click Add New User in table header.

                                                   ii.     Select the User then click Save.

j.        Steps page:

                                                     i.     Click Add New Step in table header.

                                                   ii.     Enter Arabic and English Name.

                                                  iii.     Sequence No: the order of executing the steps (each record is considered a step).

                                                  iv.     Select Setup Type: based on selection, fields below will be displayed:

1.      Follow Position Hierarchy: means that the workflow step 1 will follow direct manager. Employee reporting to specified in: Reporting To / Employment page / Employee screen.

a.      Enter No Of Approvals: enter how many approval managerial levels.

b.      Exclude: remove these users from approval cycle.

2.      Requester: the workflow will go back to the initiator of the request.

3.      Specific User: the workflow will only go to the users selected in the Include drop down.

4.      Department Secretary: the workflow will go to the department user of employee department (defined in Department Secretary screen).

5.      Delegated User: the workflow will go to the delegated user selected in the request (example: leave requests).

6.      Head Of Department: the workflow will go to the head of department user of employee department (defined in Organization Structure page in Company screen).

7.      Involved User: the workflow will go to the involved users specified in the request.

                                                   v.     No Of Approvals: no of users should approve.

                                                  vi.     Allow Delegation: The approval will go to the delegated user for approval. (if approved user was on leave, the request will go to delegated employee he specified in the request) There are two ways to define delegated employee:

1.      User Delegation Screen.

2.      Delegated User in the initiated requests if the Forward ESS Requests option is selected.

                                                 vii.     Exclude Repeated: If the request is sent previously to the user for approval, it will exclude that user in any future approvals for that request. Example: if the approved user was direct manager and head of department (based on workflow setup), the request should go for the first approval only and exclude the second approval.

                                                viii.     Parallel: the request is sent in parallel to multiple users for for their approvals … and the approval sequence will be approved once the number of approvals is met (specified in No Of Approvals field).

                                                  ix.     Click Save.

                                                    x.     Repeat for each required approval sequence.
